# Best AI Assistants for CEOs and Busy Executives (2026)

October 3, 2026 · Justin Canetti · 11 min read · Comparisons

## The short answer

**The best AI assistant for a CEO is the one that fits how you already work: an agent that can take tasks off your plate with your approval, plus the tools you trust with confidential material.** Most executives end up with two or three tools, not one.

- **Best for delegating whole tasks:** Lindy, an agent that works across your apps and runs scheduled briefs.
- **Best for the inbox:** Superhuman, an AI-first email client that drafts replies.
- **Best for calendar defense:** Reclaim, which protects focus time and has delegated access on its Business plan.
- **Best for meetings and board prep:** Granola for notes, and Microsoft 365 Copilot or Gemini if your company already lives in Microsoft or Google.
- **Best for thinking and writing:** Claude or ChatGPT, for memos, investor updates, and long-document review.
- **Best for work that involves other people:** OpenAssistant, an executive assistant with its own phone number and email.
- **Among the new always-on agents available now:** Town, with approvals by default, an audit log, and SOC 2 Type II. OpenAI Dots (staged rollout) and Microsoft Autopilot (private preview) are worth watching.

Consumer agents you text, such as Poke, Instinct, and Meta Muse, are built for individuals, and we did not find executive-grade controls such as SSO documented for them. See [best AI assistants you can text](https://openassistant.us/blog/best-ai-assistants-you-can-text) for how they compare.

## How We Chose: What a CEO Actually Needs From an AI Assistant

A CEO's problem is rarely a shortage of tools. It is a shortage of attention, plus a long list of people who each need something. We looked for tools that help with four things:

- **Confidentiality:** can you keep board, M&A, HR, and investor material out of model training, with admin controls and a clear data policy?
- **Delegation with approvals:** can the assistant act, and does it stop and ask before sending something external?
- **Board and investor prep:** can it pull context from meetings, email, and documents into a usable brief?
- **Calendar defense:** can it protect time for thinking, not just fill gaps?

No single product covers all four equally well, which is why the table spans several categories. For a wider view of the category, see [best AI personal assistants in 2026](https://openassistant.us/blog/best-ai-personal-assistants-2026) and [best AI executive assistants](https://openassistant.us/blog/best-ai-executive-assistants-2026).

## Lindy: Best for Delegating Whole Tasks

Lindy describes itself as an AI teammate that plugs into your tools and takes real work off your plate. Per its site, it connects to 1,000+ apps, attends meetings, runs scheduled tasks such as daily briefs and weekly reports, keeps editable memory files about your business, and can be reached in Slack, iMessage, and email. Its pricing page lists SOC 2, GDPR, HIPAA, and PIPEDA compliance and says data is never used to train models.

The limits: it is credit-based, so heavy use can run through a plan, and the free offer is a one-time $50 trial credit valid for 7 days rather than a permanent free plan. Decide up front which actions need your approval before anything leaves your name.

## Superhuman: Best for Email Volume

Superhuman Mail is an email client built around AI. The vendor says it organizes the inbox, drafts emails on your behalf with optional auto-sending, and runs workflows end to end, on top of your existing Gmail or Outlook account.

The limit for a CEO: it improves the inbox, not the rest of the day. It does not plan your calendar, run follow-ups with outside parties, or prepare a board deck. We could not confirm its current price on the vendor pages we read, so check it before you plan around a budget. See [best AI email assistants](https://openassistant.us/blog/best-ai-email-assistants) for more options.

## Reclaim: Best for Calendar Defense

Reclaim's pitch is protecting your time. Its plans include AI Focus Time, Habits, buffer time, Smart Meetings, and scheduling links, with Google and Outlook calendar sync. The Business plan adds delegated access, which matters if a human chief of staff or EA also manages your calendar. There is a free Lite plan limited to one user, a one-week scheduling range, and one calendar sync.

The limit: it optimizes your calendar. It does not email attendees on your behalf or chase replies across a long thread. See [best AI calendar assistants](https://openassistant.us/blog/best-ai-calendar-assistants).

## Granola: Best for Meeting Notes Without a Bot

Granola produces AI meeting notes with in-meeting chat, shared folders, and templates. Its pricing page lists a free Basic plan with 30-day history, a $14 Business plan with unlimited history and integrations (Notion, HubSpot, Zapier, Affinity, Attio), and a $35 Enterprise plan with SSO, SCIM, and HIPAA compliance.

The limit: notes are only as useful as what happens next. Pair it with a tool that acts on the decisions. Consent matters here: tell participants when a meeting is being recorded or transcribed and follow your local law, which varies by state and country (this is general information, not legal advice). See [best AI meeting note takers](https://openassistant.us/blog/best-ai-meeting-note-takers).

## Microsoft 365 Copilot: Best if Your Company Runs on Microsoft

Microsoft 365 Copilot works inside Word, Excel, PowerPoint, Outlook, and Teams, with pre-built agents such as Researcher and Analyst. The Copilot Business add-on lists at $18 per user per month on annual billing as a first-year promotion for purchases through December 2026, from a regular $21, and it requires an eligible Microsoft 365 Business plan.

The limit: it works inside the Microsoft tenant, so it will not see what lives in other systems unless connected. For a CEO, the advantage is that your documents and permissions stay where IT already governs them.

## Gemini in Google Workspace: Best if Your Company Runs on Google

Gemini in Workspace summarizes Gmail threads, drafts replies, helps with calendar and meeting prep, takes notes in Meet, and searches Drive. Google states that company data is not used for model training or ads, and that Gemini retrieves only content a user already has access to. Google's pricing page lists Business Standard at $14 per user per month, with introductory discounts for new customers.

The limit: like Copilot, it is strongest inside its own suite, and it assists you rather than acting independently outside it.

## Claude: Best for Writing and Analysis

Claude is a strong general assistant for the work only you can shape: investor updates, board narratives, hard emails, and long-document review. Its Free plan includes chat, web search, file creation, memory, and app connections; Pro is $17 per month billed yearly or $20 monthly; the Team plan is $20 per seat per month on annual billing and lists SSO, admin controls, and no default model training.

The limit: it works when you open it. It has no phone number or email of its own to chase people for you. Weekly and five-hour usage limits apply on paid plans.

## ChatGPT: Best for Drafting and Research

ChatGPT is a widely used general assistant for drafting, research, and analysis, with connectors and a Business tier for teams. It suits an executive who wants a flexible sounding board for decisions and communications.

The limit: it waits to be asked more than it acts on your behalf with other people. We could not load OpenAI's pricing page, so confirm current plans, limits, and data terms there. See [Claude Cowork vs. ChatGPT](https://openassistant.us/blog/claude-cowork-vs-chatgpt) and [how businesses can use AI beyond ChatGPT](https://openassistant.us/blog/ai-beyond-chatgpt-for-business).

## Town: A New Always-On Assistant With Approvals and Audit Controls

Town gives each person an assistant that learns how they work and acts proactively across email, calendar, and docs. It has its own @town.com email address, can be reached in Slack, WhatsApp, and Telegram, and ships routines such as morning briefings, meeting briefings, and contact dossiers. Its site describes users as knowledge workers across roles, such as investors, recruiters, sales leaders, and business owners, not CEOs specifically. For a CEO, the relevant controls are on its site: approval required for actions by default, per-action permissions, a full audit log, SOC 2 Type II, and AI training off unless you opt in. Team plans let a chief of staff share routines.

The limits: credit-based pricing is hard to predict, with Starter at $15 per month and higher tiers priced by monthly credit allotment. We did not find SSO or a published retention period, and an assistant that reads an inbox carries prompt-injection risk, so keep approvals on for anything external.

## OpenAI Dots and Microsoft Autopilot: Worth Watching, Not Yet for Everyone

**OpenAI Dots** launched September 29, 2026 as always-on agents in ChatGPT with their own cloud computers, reachable in Slack and Microsoft Teams. Per SiliconANGLE, it is rolling out to ChatGPT Pro and Business Premium in eligible markets (Pro excludes the EEA, Switzerland, and the UK at launch), and Enterprise needs admin enablement. Actions that could touch your accounts or share information must clear an auto-review check, and you can message or call the agent in ChatGPT. We did not find a confirmed texting channel or a published phone number or email for it, and OpenAI's own pages blocked our fetch, so this rests on press reports.

**Microsoft Autopilot** (announced as Scout in June, renamed September 25, 2026) is an always-on agent that, per Microsoft, lives in your tenant with its own identity, memory, and workspace, and that colleagues can @mention in Teams, with Outlook access and approval before sensitive actions. It is in private preview, with admin attestation and a GitHub Copilot seat required, and its pricing is not published. If your company is on Microsoft 365, ask your IT team about the preview rather than planning around it.

## OpenAssistant: Best for Work That Involves Other People

We build OpenAssistant, so weigh this entry accordingly. It is an executive assistant with its own name, phone number, and email (or one on your company domain). It handles the coordination that eats a CEO's week: scheduling across many calendars, multi-person email threads, follow-ups, hand-offs, and approvals, plus shared tasks and plain-English workflows that run on demand, on a schedule, or on a trigger. You can reach it by phone call, iMessage, SMS, WhatsApp, email, or web. See the [product page](https://openassistant.us/product) and [AI scheduling assistant](https://openassistant.us/ai-scheduling-assistant).

It is in private beta, so you request access. It is not an inbox client, a note taker, or a document editor, so it sits alongside tools like the ones above. For confidentiality, Team plans offer SAML SSO, SCIM, and RBAC, Enterprise adds audit logs, and customer data is not used for training. Details are in the [Trust Center](https://openassistant.us/trust).

## How to Choose

- **If confidentiality is your first filter:** start with the suite you already govern (Microsoft or Google) and a tool with a stated no-training policy. Read the data terms before pasting board material anywhere. See [how to know if an AI tool is safe](https://openassistant.us/blog/how-to-know-if-an-ai-tool-is-safe).
- **If you have a human EA or chief of staff:** pick tools that support delegated access and approvals, such as Reclaim Business, so the assistant extends them rather than bypasses them. See [best AI tools for executive assistants](https://openassistant.us/blog/best-ai-tools-for-executive-assistants).
- **If email is the bottleneck:** an inbox tool like Superhuman or the AI in Gmail or Outlook.
- **If your day is meetings:** a note taker plus a calendar defender, then an agent that carries out the follow-ups.
- **If you are a founder-CEO of a small company:** a general assistant plus one scheduler is often enough. See [best AI tools for startup founders](https://openassistant.us/blog/best-ai-tools-for-startup-founders).

## What to Look For: Confidentiality and Approvals

Before you give any AI assistant access to your mailbox and calendar, check these points:

- Is customer data used to train models, and is that stated in writing?
- Does it ask for approval before sending anything external, or before accessing sensitive folders?
- Can an admin control access, and is there SSO and an audit trail?
- Where can it act as you, and can you revoke that in one place?
- Does it keep a record of what it did, so your chief of staff can review it?

General information only: if board, legal, or regulated material is involved, have your counsel or security team review the vendor's terms.

## Frequently asked questions

### What is the best AI assistant for a CEO?

There is no single winner. Executives commonly combine a general assistant (Claude or ChatGPT), a suite assistant (Microsoft 365 Copilot or Gemini), a calendar tool like Reclaim, and an agent such as Lindy or OpenAssistant for delegated follow-through.

### What is the best AI executive assistant for busy executives?

Look for one that can act on your behalf with approvals and handle scheduling, email, and follow-ups. Lindy and OpenAssistant are agents that do this; Superhuman and Reclaim each solve one slice, the inbox and the calendar.

### Is it safe to give an AI assistant access to my CEO email and calendar?

It can be, if the vendor states it does not train on your data, supports admin controls such as SSO, and asks for approval before external actions. Read the data terms and involve your security team for sensitive material.

### Can an AI assistant prepare me for board and investor meetings?

It can assemble briefs from meeting notes, email, and documents, and help draft updates. You still need to review the numbers and the message yourself.

### Can AI replace a human executive assistant or chief of staff?

Not fully. AI handles repeatable coordination well, but judgment, relationships, and discretion still sit with people. Many executives use AI to extend an existing EA rather than replace one.

### How much does an AI assistant for a CEO cost?

Published plans in this list range from free tiers to $99.99 per month per user for Lindy Pro, with enterprise plans priced by quote. Several vendors do not publish enterprise pricing.

### Can I use a texting AI assistant like Poke as a CEO?

Poke and similar consumer agents are built for individuals, and Poke has no documented SSO or admin controls. It was also acquired by Cognition, and TechCrunch says nothing will immediately change through the end of the year, with the roadmap after that not committed. For confidential work, prefer tools with published certifications and approvals.
