Best AI Tools for Expense Reports and Business Travel in 2026

Justin CanettiJustin Canetti10 min read
A grid of eight cards for Ramp, Brex, Navan, Perk, SAP Concur, AppZen, Zoho Expense, and OpenAssistant, grouped by expense and travel job.

The short answer

The best AI tool depends on your size and whether travel is a big part of your spend. Startups and mid-size teams usually pick a spend card platform, travel-heavy companies pick a travel and expense suite, and large finance teams add auditing on top.

  • Cards plus expenses with AI, free tier available: Ramp or Brex.
  • Travel and expense in one platform: Navan or Perk.
  • Large enterprises already on SAP: SAP Concur.
  • Auditing every expense report with AI: AppZen.
  • Low-cost receipt capture for small teams: Zoho Expense.
  • Coordinating itineraries, meetings, and the people involved: OpenAssistant.

How We Chose

Expense and travel tools overlap, so we covered four jobs: spend management with cards, travel booking with AI, receipt capture and auditing, and coordinating itineraries. We favored tools with published information on what the AI actually does, and noted pricing only where the vendor shows it.

Key criteria were accounting integrations, policy enforcement, approval flows, and how much the product automates versus merely suggests. For anything touching card data or employee spending, also review each vendor's security terms. Our guide on how to know if an AI tool is safe lists the questions to ask.

Ramp: Best for Cards and Expenses With AI Review

Ramp has a free plan that includes corporate cards, expense management, travel, and basic accounts payable. The Plus plan is $15 per user per month plus platform fees, and adds AI-driven expense reviews, NetSuite and Sage Intacct integrations, multi-entity support, and procurement. Enterprise is custom.

The limit: the most useful AI features sit on the paid plan, and the platform fee depends on team size, so get a quote.

Brex: Best for Startups and Growing Companies

Brex lists Essentials at $0 per user per month, Premium at $12, and custom Enterprise and Smart Card options. All tiers include an AI expense assistant and auto-filled expense reports. Essentials has AI-powered custom rules, and Premium adds AI-powered compliance audit detection and AI rule suggestions for accounting mappings.

The limit: compliance audit detection requires Premium, and larger companies will want to compare Enterprise terms.

Navan combines travel booking, expense categorization and reconciliation, corporate cards, and policy compliance. Its site describes Navan Edge, an AI travel assistant, with 24/7 human support in the chat.

The limit: pricing is not published, and it suits companies where travel is a major cost, rather than those with only occasional trips.

Perk: Best for Managed Corporate Travel

Perk, formerly TravelPerk, covers travel booking in 178+ countries (flights, hotels, trains, cars), expense receipt capture and matching, corporate cards, and events. It describes AI policy enforcement, exception flagging, and automatic rebooking when travel is disrupted.

The limit: pricing is custom-quoted, and the AI claims are from the vendor's marketing, so ask for a trial or reference.

SAP Concur: Best for Large Enterprises

Concur ties travel booking to expense reports, so bookings populate reports automatically. Its AI features include a Booking Agent, a Meeting Planning Agent that compares attendee locations and costs, a Policy Navigator, and help with trip changes. Concur lists tiers at about $7 per report (Base), about $11 per report (Plus), and custom Premium.

The limit: per-report pricing works differently from per-user pricing, so model your report volume before comparing.

AppZen: Best for AI Expense Auditing

AppZen uses AI agents to review expense report and card transaction data, and says it can review 100% of them, approving, rejecting, or requesting changes. It says it has processed over $50 billion in enterprise spend and uses more than 200 machine learning models.

The limit: it is aimed at finance leaders and shared services teams at larger organizations, and pricing is by demo only.

Zoho Expense: Best for Low-Cost Receipt Capture

Zoho Expense has a free plan for up to 3 users and paid Standard and Premium plans. The free plan includes AI-powered OCR receipt capture with 20 scans per user per month; Standard raises that to 200 and adds expense policies, corporate card management, and Zia AI features such as fraud detection. Premium raises it to 1,000 and adds employee self-booking.

The limit: the free plan is small and scan limits apply, so check them against your volume.

OpenAssistant: Best for Coordinating Itineraries and People

We build OpenAssistant, so weigh this entry accordingly. It is an executive assistant with its own name, phone number, and email (or one on your company domain) that handles work involving other people: scheduling across many calendars, multi-person email threads, follow-ups, hand-offs and approvals, and shared tasks. Workflows run on demand, on a schedule, or on a trigger, and it works by phone, iMessage, SMS, WhatsApp, and email. It is in private beta (request access). See the product page and AI scheduling assistant.

It is not a corporate card, an expense system, or a travel booking engine, and it does not replace Ramp, Navan, or Concur. It suits the coordination around trips, such as lining up meetings across time zones and chasing approvals and receipts from colleagues.

How to Choose

  • Startup or small team, mostly cards and receipts: Ramp, Brex, or Zoho Expense, all with free tiers.
  • Frequent travel: Navan or Perk, which combine booking and expenses.
  • Large enterprise with complex policies: SAP Concur, possibly with AppZen for auditing.
  • Existing accounting system: check integrations first. Ramp lists NetSuite and Sage Intacct on Plus and Workday and Oracle on Enterprise, so check integrations by plan.
  • Coordination overhead on trips: add an assistant. See our roundups of AI calendar assistants and AI tools for executive assistants.

Common Mistakes to Avoid

  • Treating the free tier as the whole price. Platform fees, per-report charges, and add-ons vary, so get a full quote.
  • Skipping the policy setup. AI review is only as good as the rules you give it.
  • Not testing accounting sync. Confirm exports to your ledger before rollout.
  • Ignoring data handling. Expense data includes receipts and personal details, so check security certifications and retention terms.
  • Buying travel and expense separately by default. Combined suites can cut reconciliation work, but compare against best-of-breed tools.
